Willowbrae Academy (“We” “our” “us” “Willowbrae” or “Academy”) provides this Privacy Policy to describe how we collect, use, and share the information of individuals who visit our website at www.willowbraeacademy.com and any “Willowbrae Academy” domains and sub-domains (the “Sites”), download and use our Mobile Apps (BRAEVIEW Parent App and BRAEVIEW Staff App). or otherwise use our services (together, our “Services”).
When using our Sites and/or Services, you may provide information about yourself, including your name, address, e-mail address, phone number, payment information (including images of personal checks), personal information relating to your child (“Student Information”), and any other information you choose to provide. For example, we collect this information when you create an account and profile within our App, subscribe to any of our programs, search for a program, contact us, or interact with us for any other purpose. With your express consent, we also use biometric information (such as a scan of facial geometry and/or fingerprint scanning for verifying or authenticating your identity) to allow you to physically access our locations.
When you download and use our Mobile App and create a parent/guardian account and profile, we collect and use Student Information. Student Information is collected directly from a parent/guardian, and is only visible to and accessible through the App by the child’s parent/guardian and our education providers and administrators, not to any other parent using the App (other than any live-feed video images of a classroom via the Liveview System, which is available to parents/guardians of the class who use the App).
Student Information we collect includes:
• Name, age, date of birth and allergy/health information, including information about immunization;
• Video images (including live feed video) through our Liveview System;
• Tagged photographs;
• Information about daily activities at the academy.
Student Information is not shared with or disclosed to any third party except as provided in this Policy and is securely destroyed once it is no longer required for the purposes for which it was collected.
We use biometric information to assist with our verification processes. We (and a third party, on our behalf) may collect, use, and store biometric information consisting of scans of facial geometry based on the government identification documents and photos of your face that you upload, in addition to fingerprint scanning. This information is used to help verify your identity. The information will be permanently destroyed after the purpose for collection is satisfied or within three years of your last interaction, whichever occurs first, unless required by law to keep the information for longer.
When you apply for a job with us, we collect personal information including your name, contact information (such as mailing address, phone number and/or email address), education, experience and history, skills and interests, availability, and any other information you voluntarily provide to us in your application, resume, cover letter, or similar document. We use this information to evaluate your qualifications and suitability for the desired position, process your application, and contact you for further information. We may also keep this information on file to consider you for future job opportunities or to otherwise meet legal or business requirements.
As part of the job application process, we may also collect personal information in the course of background verifications, including, but not limited to, a criminal background check, a job reference check, and verification of any information you have provided.
From employees, in addition to the information mentioned above, we collect information about you in the course of your employment, including your communications (including video recordings, phone, and written communications), your beneficiary details, medical information, and information about your employment and conduct.
We (and other entities) automatically collect information relating to your interactions with us and our Sites, including browser type, IP address, pages visited and other activities on the Sites, device type, and time and date of visit, and other information we collect through the use of cookies and similar technology. We may use your personal information for any lawful purpose, including the following:

Our Sites and Services may offer interactive features, such as the ability to create an account and profile, that you can use to communicate with other users. If you disclose information in your account, this information can be viewed, collected and used by others.
We may partner with ad networks and other ad serving providers (“Advertising Providers”) that serve ads on behalf of us and others on non-affiliated platforms. Some of those ads may be personalized, meaning that they are intended to be relevant to you based on information Advertising Providers collect about your use of our Sites, Services, and other sites or apps over time, including information about relationships among different browsers and devices. The personal information that you provide will be retained by Willowbrae in accordance with applicable laws and our internal retention policies. However, we will take reasonable steps to destroy or permanently de-identify personal information we hold if it is no longer needed for the purposes for which it was collected.

To opt out of our email marketing, you can use the link provided at the bottom of each marketing message. If you opt out of our email marketing, we will still send you messages related to our transactions and relationship with you, such as order confirmations.

Verification Process and Required Information: Note that we may need to request additional information from you to verify your identity or understand the scope of your request. You will not be required to create an account with us to submit a request or have it fulfilled. We will require you to provide, at a minimum, basic contact information like your name and phone number.
Authorized Agent: Depending on your state law, you may also designate an authorized agent to make requests on your behalf by designating such an agent in writing or through a power of attorney. We will require the agent to provide us with proof that you have authorized the agent to make requests on your behalf prior to accepting requests from the agent.
